Workspace & team settings

How do I invite people to my workspace?

Only an admin can invite someone, from Settings > Members, and every invite gets one of two roles — admin or member. Right after joining, a new teammate can often see the workspace but not open any patient or exam yet: an admin still has to finish granting them the workspace's encryption keys.

Inviting someone to a workspace is an admin-only action, from Settings > Members. Every person you invite gets one of two roles: admin (every action on every security group) or member (only what's explicitly granted).

specialist isn't a role you pick here — it's a separate account kind. A specialist is whoever a report is assigned to, whether or not they ever log in to diagnos. Role and kind are independent: a specialist account can also be an admin or a member.

Why a brand-new member sometimes can't see anything#

What happens next depends on whether the person already had an diagnos account:

  • They already had one. Whoever invited them sealed the workspace's security group keys for them at the moment of the invite — they can decrypt content from their very first login into this workspace.
  • They didn't have one yet. Only the invite itself is recorded. The moment they create an account and log in, they join the workspace already authorized, but without any keys to decrypt it — an admin still has to finish granting them access to the right security groups.

That second case is a real support ticket waiting to happen: a teammate who insists they've "joined" but can't open a single patient or report. That's not a bug — it's the gap between accepting an invite and an admin sealing the keys.

The team isn't only people#

Alongside the people you invite, a workspace can also have service accounts (used by integrations) and AI agents, each showing up as their own kind. See AI settings for the AI side of that.
